S Corp Payroll With One Employee: You

A one-person S corp still runs payroll, because the one person is an employee. The work is the same as for a ten-person company, with one name on it.

A payroll team runs one-person payroll the same way it runs a hundred.

A one-person S corp still runs payroll, because the one person is an employee. The deposit dates, the quarterly returns and the W-2 are the same as for a company with staff.

Why payroll is required for the owner alone

The IRS requires an S corporation to pay reasonable compensation to a shareholder who works in the business before any distributions. Compensation means wages, and wages mean payroll.

That holds whether the business earns a little or a lot, and whether or not you ever take a distribution.

What one-person payroll involves

State withholding and unemployment accounts in the company's name

A payroll calculation each pay period: gross, withholding, employer taxes, net

Tax deposits on the IRS and state schedules

Quarterly Form 941 and state returns

Annual Form 940 and state reconciliations

A W-2 to you and a W-3 to the SSA by January 31

Nothing on that list gets smaller because the headcount is one. The dates and the forms are the same.

How often to run it

Monthly is the common choice. It keeps the deposit schedule simple, spreads the cash out and gives your CPA twelve clean entries.

Quarterly or once-a-year payrolls are permitted. They put the whole year's deposits and returns on one or four dates, which is where late filings tend to come from.

When a spouse joins the payroll

If your spouse works in the business, they can be an employee too. Their wages run through the same payroll, and their own W-2 arrives in January.

A second person changes little in the calculation and more in the paperwork: a new-hire report, a second withholding certificate and a second line on every return.

Three ways to run it

A payroll account you run

You register with the state, set up the account, enter the salary, run it on time and answer the notices. The software calculates and files.

An all-in-one membership

Payroll bundled with bookkeeping, business returns and formation. Your CPA is replaced along the way.

A payroll team

A team registers the accounts, runs the monthly payroll, files the returns and issues the W-2. You keep your CPA.

One owner, no payroll login

The S corp payroll package is built for exactly this: a flat monthly price, the salary figure from your CPA, and a team that does the rest.

One-person payroll questions

Do I really need payroll if I am the only person?

Yes, if you work in the business. The IRS requires reasonable compensation paid as wages before distributions.

Can I pay myself once a year?

It is permitted. It also concentrates every deposit and return on one date, so most owners who try it once move to monthly.

Do I file a new-hire report for myself?

Most states require a new-hire report for every employee, including an owner who is an employee. Your payroll team files it.

What changes when my spouse joins?

A second W-2, a new-hire report and a second line on each return. Ask us about the price for a second person on payroll.

Does the payroll team set my salary?

No. Your CPA sets it and we run it, every month, with the record to show it.
