Who we are

This website, pay-advisors.com, is operated by Paid Payroll Services LLC, doing business as PayAdvisors ("PayAdvisors," "we," "us"). We provide managed payroll and HR services to businesses in the United States.

What this policy covers

This policy covers information we collect when you visit our website, send us an inquiry, book a call or communicate with us as a prospective client.

It does not cover:

  • Payroll and HR information we handle for our clients about their employees and contractors. See Payroll information we handle for clients.
  • Websites and services we link to, such as LinkedIn and Facebook. Their own privacy policies apply.

Your use of the website is also governed by our Terms and Conditions.

Information we collect

Information you give us

  • Contact form: first name, email address and company name, plus your phone number, company website and a message if you choose to add them.
  • Payroll help form: first and last name, email address and phone number, plus your company if you add it.
  • Booking a call: first and last name, email address, phone number, company name, the time and time zone you choose, and your agreement to receive text messages from PayAdvisors.
  • Emails, calls and texts with us: your contact details and what you tell us.
  • Blog comments: our blog does not show a comment form, but our website software still accepts comments sent to it directly, most of them automated spam. When one arrives, it stores the name, email address, website, IP address and browser details sent with it. We hold these comments for review and do not publish them without review.

Please do not send Social Security numbers, bank account numbers or payroll records through our website forms.

Information collected automatically

  • Website analytics. Google Analytics records the pages you view, how you reached our site (such as the referring website and any campaign tags in the link), your device and browser type, and an approximate location that Google derives from your connection.
  • Form and calendar activity. When a page with one of our forms or our booking calendar loads, our customer relationship management (CRM) provider records that the form was viewed. It saves a visit record in your browser with the page address, the referring website, any campaign tags in the link and a random identifier, and it may use your IP address to estimate your location. If you send a form or book a call, that visit information is added to your contact record so we know how you found us.
  • Form security. Our forms use Cloudflare Turnstile, which checks browser and device signals to tell people from automated spam.
  • Server and security logs. Our website host and our website security service process your IP address and details of each request to deliver and protect the site.

How we use information

  • To respond to your inquiry and talk with you about our services.
  • To schedule, confirm and hold the calls you book.
  • To manage our sales follow-up: we keep a contact record in our CRM, assign a team member to it and track where the conversation stands.
  • To alert our team that a new inquiry has arrived (see below).
  • To understand how people use our website and improve it.
  • To protect our forms and website from spam and misuse.
  • To meet legal obligations and to establish or defend legal claims.

Messages to you and alerts to our team

Messages we send to you

  • Email. When you send our contact form, we send an automatic email confirming that we received it. A team member may follow up by email.
  • Phone calls. If you give us your phone number, a team member may call you about your inquiry.
  • Text messages. Booking a call through our website includes agreeing to receive text messages from PayAdvisors. We may text you about your inquiry and any call you book. Message frequency varies, and message and data rates may apply. To stop texts, reply STOP or contact us. If you would rather not receive texts, call or email us to schedule instead. Our Terms and Conditions also describe these messages.

Alerts to our team

When you send our contact form, our CRM sends an internal text message and an internal email to members of our team with details from your submission, such as your name, company, phone number, email address and how you found our website. These alerts go only to our team so someone can respond quickly. They are not messages to you.

Who receives information

We share information with service providers that run parts of our website and business for us:

  • CRM, forms, scheduling and messaging: HighLevel (LeadConnector), which hosts our forms and booking calendar, stores contact records and sends our emails, text messages and team alerts, and supports our calls. Our HighLevel account is run by ClientKeeper, which can access the information in the account to provide and support it.
  • Email: Google Workspace.
  • Website analytics: Google Analytics, through Google Site Kit.
  • Website hosting and security: our hosting provider and MalCare, our website security service.
  • Search optimization: Search Atlas, which receives the address of each page as it loads.
  • Form security: Cloudflare (Turnstile).
  • Embedded content: Google Fonts, which supplies the typefaces on our pages, and YouTube, which plays our videos.

We may also disclose information when the law requires it, to protect our rights or the safety of others, as part of a sale, merger or other transfer of our business, or when you ask us to.

Cookies and tracking

These are the cookies and similar browser storage our website uses:

  • _ga and _ga_K8212PRQSG (Google Analytics): tell visits and visitors apart for our analytics. Google sets them to expire after up to two years, and browsers may shorten that; Chrome, for example, limits them to 400 days.
  • Visit history and identifiers (HighLevel, stored inside our form and calendar frames): record how you reached the site and random identifiers for the attribution described above. One identifier is set to expire after one year; the rest stays until you clear your browser storage.
  • Form display settings (HighLevel form script): remember how an embedded form was shown. Stays until you clear your browser storage.
  • __cf_bm (Cloudflare, on our form provider's domain): helps detect automated traffic on our forms. Expires in less than a day.

Our videos are hosted on YouTube. The YouTube player loads only when you press play, and YouTube may then set its own cookies.

Our form and calendar widgets also load a script file from Meta Platforms. We have not set up a Meta pixel in those widgets, and we do not use them to send advertising events to Meta.

Our website does not show a cookie banner and does not respond to browser "Do Not Track" signals. You can block or delete cookies in your browser settings, and you can stop Google Analytics from using your visits with the Google Analytics opt-out browser add-on. Blocking cookies or browser storage may keep our forms or calendar from working.

How long we keep information

We keep inquiry and booking information in our CRM for as long as we need it to respond to you, follow up and keep our business records, and longer when the law requires it. You can ask us to delete it at any time, as described in Your choices and requests.

Google Analytics keeps user-level analytics data for the period selected in our Google Analytics account, which for standard accounts is at most 14 months. Cookie and browser storage lifetimes are listed in Cookies and tracking.

Your choices and requests

  • Emails and calls: ask the team member you are working with, or contact us, to stop them.
  • Text messages: reply STOP, or contact us.
  • Analytics and cookies: use your browser settings or the Google Analytics opt-out add-on described above.
  • Using the forms is optional: you can email or call us instead.

You can also ask us to tell you what information we have about you, to correct it or to delete it. Email info@pay-advisors.com with "Privacy request" in the subject line, or call 866-839-3322. We may need to confirm your identity before acting on a request. Depending on where you live, you may have other rights under the law that applies to you, and we will respond as that law requires.

Payroll information we handle for clients

When a business hires PayAdvisors for payroll or HR services, we work with information about that business's employees and contractors, such as names, contact details, pay, tax details and bank details needed to run payroll. We do this on the client's behalf, inside the payroll and HR systems the client uses.

This policy does not govern that information. Our arrangements with the client and the client's own privacy practices do. If you work for one of our clients and have a question about your payroll information, please contact your employer.

Security

We rely on the security features of the services listed above, including sign-in controls on our CRM and the automated check on our forms. No website, email or online service is completely secure, so please do not send sensitive personal or payroll details through our website forms.

Children, other countries and changes

Children. Our website and services are for businesses. They are not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us so we can delete it.

Where information is processed. We are based in the United States. Our service providers may process information in the United States and in other countries.

Changes. We will post any changes to this policy on this page and update the effective date at the top.
