After the election

You elected S corp. Here is what has to happen now.

Once the election is in, the IRS expects a salary paid through payroll, with every filing that comes with it. For a one-person company, that is a surprising amount of setup and a calendar of deadlines.

On this package, every item below is ours:

State withholding and unemployment accounts registered

Payroll set up on our system with the salary your CPA sets

Direct deposit from your business account, every month

Federal and state tax deposits made on time

Quarterly Form 941 and state payroll returns

Annual Form 940 and state reconciliations

W-2 and W-3 at year end

IRS and state notices about your payroll accounts answered

How it works

From a booked call to your first paycheck

Four steps. You book the call and send a few documents, and we do the rest.

Step by step

1.

Book a call and tell us your state, your pay date and whether you are moving from another provider.

2.

Send a few documents: your EIN letter, your S election acceptance, the salary figure from your CPA and a voided check.

3.

We register your state accounts and set up payroll, direct deposit and any benefit deductions.

4.

Your first paycheck runs on schedule, and every month after. You approve each run.

Compare

A payroll account, a membership, or a payroll team?

Payroll software

You open the account, register with your state, enter the salary, run it every month and fix what goes wrong. The software calculates and files.

An all-in-one membership

Payroll comes bundled with bookkeeping, business returns and formation, and your CPA is replaced along the way.

PayAdvisors

Payroll only, done completely by a team of payroll professionals. Your CPA keeps the books and the returns.

Reasonable salary

Who decides your salary?

Your CPA does. The IRS requires an S corporation to pay a shareholder who works in the business reasonable compensation before any distributions, and it publishes no formula or percentage.

Your CPA weighs the factors below against your work and your numbers, and sets the figure. We run that figure every month and keep the record. General information, not tax advice for your situation.

What the IRS says courts look at when they judge the figure:

Training and experience

Duties and responsibilities

Time and effort devoted to the business

Dividend history

Payments to employees who are not shareholders

Year-end

Did not run payroll this year?

If you elected S corp and have not run a payroll this year, there is still a December route. We register the accounts, run one payroll for the year's salary, file the late quarterly returns and issue your W-2.

It is priced on a call, because the work depends on your state and on how many quarters are open.

S corp payroll questions

Do I have to run payroll if I elected S corp?

If you work in the business and take money out of it, the IRS expects reasonable compensation paid as wages through payroll before distributions. Your CPA confirms the figure. We run it.

Who decides my salary?

Your CPA. We run the figure your CPA sets, every month, and keep the payroll record that documents it. We do not advise on salary or distributions.

How often will I be paid?

Monthly, on a fixed date you choose, by direct deposit from your business account.

Why not just use Gusto or another payroll account?

You can. You still own the state registrations, the setup, the monthly run, the notices and the mistakes. On this package a payroll team owns them, and you never log in.

Is this an all-in-one S corp membership?

No. This is payroll only. You keep your CPA, your bookkeeping and your tax returns, and we work alongside your CPA.

What does it cost?

$149 a month, flat. A one-time setup fee of $249, and $249 per state tax account we register. Month to month, no minimum term.

What do I need before we start?

Your EIN letter, your S election acceptance from the IRS, the salary figure your CPA set, and a business bank account for direct deposit.

I already run payroll somewhere. Can you take it over mid-year?

Yes. We load your prior wages and year-to-date taxes so your W-2 covers the whole year. Switching is included in setup.

I live in one state and my company is in another. Does that work?

Yes. Multi-state and local withholding are included. We register the accounts each state requires and withhold for the right one.

My company pays my health insurance. Does that affect payroll?

Yes. Premiums paid for a 2% shareholder are reported as wages in Box 1 of your W-2, the way the IRS requires. We handle that at year end.

Can my spouse be on payroll too?

Yes. Ask us about the price for a second person on payroll.

I did not run payroll this year. Is it too late?

Usually not. We register the accounts, run one payroll for the year's salary, file the late quarterly returns and issue your W-2. It is priced on a call.
