Quick answer

Kansas payroll tax registration at a glance

Kansas employers usually open two accounts. The Kansas Department of Revenue (KDOR) handles income tax withholding, and you apply online through the KDOR Customer Service Center at ksrevenue.gov. The Kansas Department of Labor (KDOL) handles unemployment insurance, and you register in its Employer Self Service Portal. New businesses file a Status Report with KDOL within 15 days of paying their first employee.

In 2026, unemployment tax applies to the first $15,100 of each employee's wages, up from $14,000. KDOL lists a 1.75% new employer rate and 5.55% for new construction employers. New hires and rehires go to the Kansas New Hire Directory within 20 days.

Registration steps

How to register in Kansas

Two online registrations, then new hire reporting.

  1. Get your federal EIN. Your Kansas withholding account number is built from it.
  2. Register for withholding with KDOR in the KDOR Customer Service Center at ksrevenue.gov. Paper applications by mail or fax should go in 3 to 4 weeks before your first withholding payment.
  3. Register with KDOL in the Employer Self Service Portal and file the K-CNS 010 Status Report within 15 days of paying your first employee.
  4. Collect Form K-4 from each new employee as soon as they're hired. If an employee doesn't complete one, withhold at the single rate with no allowances.
  5. Report each new hire to the Kansas New Hire Directory within 20 days. Electronic reporting is encouraged.
  6. Note your filing frequency. KDOR sets it by your annual withholding, from annual to quad-monthly.

Prepare

What to collect first

Have these ready before you apply.

  • Your federal EIN
  • The date you first paid wages in Kansas
  • Your expected annual Kansas withholding, which sets your deposit schedule
  • Form K-4 from each new employee
  • Each new hire's name, address, Social Security number and hire date for the new hire report

Accounts

What you end up with

Two accounts, two numbers.

  • A KDOR withholding account. The number has a 036 tax type, your EIN and an account suffix, such as 036 481234578 F01.
  • A KDOL unemployment account with a ten-digit employer account number for quarterly K-CNS 100 reports.

Pitfalls

Kansas mistakes to avoid

Most problems come from missed reports.

  • Missing the 15-day Status Report. KDOL wants the K-CNS 010 within 15 days of your first payroll.
  • Skipping zero filings. File a KW-5 for every period even with no Kansas tax withheld, and file the K-CNS 100 even with no wages.
  • Using last year's wage base. It rose to $15,100 on January 1, 2026.
  • Filing late with KDOL. The penalty is 0.05% of the quarter's wages per month, at least $25 and up to $200 a quarter, plus 1.0% monthly interest.
  • Paying on paper. Kansas withholding reports and payments must be made electronically.

Related duties

Other Kansas employer obligations

These run alongside the tax accounts.

  • New hire reporting. Report each new hire, rehire or employee returning from an extended layoff to the Kansas New Hire Directory within 20 days, under K.S.A. 75-5743.
  • Workers' compensation. Kansas law covers all employers regardless of size, except employers in agricultural pursuits and employers with an estimated annual payroll under $20,000, unless they are a subcontractor.
  • Remote and multistate workers. Wages for work performed in Kansas are subject to Kansas withholding, including remote work.
